Delete multiple spool request

1. Purpose

This document describes the procedure to delete multiple spool requests in SAP systems using standard reports RSPO0041 and RSPO1041. This method is recommended when mass deletion via transaction SP01 is inefficient or causes system timeouts.

2. Problem Description

Excessive spool requests may accumulate due to batch jobs, user activities, or print errors. Large volumes of spool requests can:
  • Consume database storage
  • Impact system performance
  • Cause timeouts when deleting via SP01

3. Solution Overview

Use SAP standard background reports:
  • RSPO0041 - Deletes old spool requests
  • RSPO1041 - Deletes old output requests
It is recommended to execute these reports in background mode for large volumes.

4. Prerequisites

  • Authorization for spool administration (e.g., S_SPO_ACT)
  • Access to transaction SE38 and SM36
  • Approval if executed in Production environment

5. Procedure

Step 1 - Execute Report

  1. Go to transaction SE38.
  2. Enter report name RSPO0041.
  3. Click Execute.

Step 2 - Define Selection Criteria

  • Client
  • Spool request age (number of days)
  • User name (optional)
  • Output device (optional)
Always run in test mode first to verify which spool requests will be deleted.

Step 3 - Execute in Background (Recommended)

  1. From selection screen, choose Program → Execute in Background.
  2. Define job name.
  3. Schedule via SM36 if required.

6. Validation

  • Check job log in SM37.
  • Verify spool count reduction in SP01.
  • Confirm no active spool requests were unintentionally removed.

7. Risks and Precautions

  • Irreversible deletion of spool data.
  • Potential impact if active spool requests are selected.
  • Ensure correct client selection.

8. Best Practices

  • Schedule periodic spool cleanup job (e.g., monthly).
  • Align retention period with business policy.
  • Monitor table growth related to spool data.
